Exhibitor Information

Exhibitor Badges

All exhibitors must be registered. Exhibitors will receive pre-registration forms in the Exhibitor Service Kit. Admission to the exhibit area and sessions will be by badge only. A special exhibitor registration area will be provided on-site.

Each representative who is issued an exhibitor's badge must be employed by the exhibitor or have a direct business affiliation. Only representatives who are employed by the exhibiting company and who will be working in the booth are to be registered. Exhibitor badges will not be issued to registrants who should pay the registration fee or to representatives of leasing companies, financial institutions, suppliers, vendors, or others to gain admittance for the purpose of making contacts.

Each exhibiting company will receive (2) complimentary exhibitor badges per 10' x 10' space. Additional badges may be purchased for $50 additional.

Exhibitor Access to Exhibit Hall

Exhibitor personnel will be allowed access to the exhibit hall 60 minutes prior to its opening on Sunday through Tuesday. Request for access to the hall before these hours, or after closing hours, must be made in advance by contacting Exhibit Management.

Exhibit Guest Passes

Two guest passes per 10' x 10' booth space will be mailed to exhibitors automatically. Exhibitors are then responsible for mailing these invitations to their guests. The exhibiting company is responsible for the actions of its guests.

Prospective Exhibitor Passes

Prospective exhibitors may visit the exhibits Sunday, Monday and Tuesday, August 11, 12 and 13 at a cost of $100 per day. This fee is applicable to the rental of the following year’s exhibit space.

The activities of prospective exhibitors are limited to the assessment of the exhibits for future participation in the AANA Annual Meeting. Any commercial activity by prospective exhibitors is expressly prohibited and will result in immediate expulsion from the exhibit hall.

Exhibitors’ Lounge

The exhibitors’ lounge will be open and stocked with complimentary refreshments during installation, show hours and dismantling.

Children’s Admission to the Exhibit Hall

Children are permitted in the exhibit hall provided a registered member, nonmember and/or exhibitor accompany them at all times during their visit. No strollers are allowed for safety reasons. The registered member, nonmember and/or exhibitor who is responsible for the child assumes all responsibility for any damage to exhibits. Children are not permitted in the exhibit hall during set-up or dismantle.

Exhibit Hall Release Passes

Deliveries to or removal of equipment from the hall must be made before or after exhibit hours. An Equipment Release Pass must be obtained from Exhibit Management in order to remove any material or equipment prior to the closing day of the exhibit hall. After the final close of the show no pass is required.

Hotel Accommodations

The official housing form will be sent to all exhibitors in March 2013. For those applications received following that mailing, housing information will be sent with booth space assignments. Housing reservations must be received no later than June 15, 2013.

Door Drops

Door drops are permitted at all AANA Hotels and must be arranged through AANA. Hotels have been instructed to contact AANA about any door drop requests.
