Contract Obligations

Liability

The exhibitor agrees to protect, save and keep the AANA, Association & Meeting Solutions (AMS) and the occupied hall forever harmless from any damage or charges imposed for violation of any law or ordinance by the exhibitor or his employees or agents, as well as to strictly comply with the applicable terms and conditions contained in the agreement between the AANA, AMS and the occupied hall regarding the exhibition premises.

Further, exhibitors shall at all times protect, indemnify, save and keep harmless the AANA, AMS and the occupied hall against and from any and all loss, cost, damage, liability or expense which arises out of or from or by reason of any act or omission of the exhibitor, his employees or agents.

Exhibitor should maintain general public liability insurance in any amount sufficient to cover such obligations, including show cancellation insurance. Exhibitor acknowledges and agrees that it will obtain, at its own expense, any and all licenses or permits in order to comply with all local, state and federal laws, ordinances and regulations for any of its activities in connection with the AANA Annual Meeting.

Insurance

Exhibitors who wish to insure their exhibit materials, goods and/or wares against theft, damage by fire, accident or loss of any kind, must do so at their own expense. As a courtesy to exhibitors, security for the exhibit area will be furnished by AANA during the hours deemed necessary by AANA and Exhibit Management. The furnishing of such a service is in no case to be understood or interpreted by exhibitors as a guarantee to them against loss or theft of any kind.

Violations

Violation of any of these regulations on the part of the exhibitor, his employees or agents shall nullify the right to occupy space, and such exhibitor shall forfeit to management all monies that have been paid. Upon violation of any of these regulations on the part of the exhibitor's expense.Exhibitors shall be liable for all damages which management may incur and forfeit all monies paid or due. The exhibitor expressly waives the serving of a written notice to re-enter and terminate.

Fire Regulations

All materials used in the exhibit area must be flameproof and fire resistant in order to conform to local fire ordinances and to meet regulations established by the National Association of Fire Underwriters. Crepe paper or corrugated paper, flameproof or otherwise, will not be permitted. Display racks, signs, spotlights and special equipment must be approved before use, and all displays are subject to inspection by the Fire Prevention Bureau.

Any exhibits or parts thereof that are found not to be fireproof may be ordered dismantled. All aisles and exhibit areas must be kept clear at all times, and fire stations and fire extinguisher equipment must not be covered or obstructed.

Cancellation of Exposition

It is mutually agreed that in the event of cancellation of the AANA Annual Meeting as a result of strikes, governmental regulations or other causes which would prevent its scheduled opening or continuance, this agreement will be terminated immediately, and the AANA shall determine an equitable basis for the refund of such portion of the exhibit fees as is possible, after due consideration of expenditures and commitments already made.

Amendments of Rules and Regulations

All matters and questions not covered by these regulations are at the discretion of Management. These regulations shall be equally as binding, upon publication, on all parties affected by them as were the original regulations.
